e-Way Bill User Management: How to create, update and freeze Sub-Users

The e-Way Bill portal provides user management services to simplify the e-way bill generation procedure. Apart from these, there are other services too such as SMS facility, consolidated EWB, Masters and so forth.

However, to use these above-mentioned features the taxpayer or transporter has to register on the e-Way Bill Portal.

Why creating sub-users is important?

Every taxpayer or transporter has to generate an e-Way bill every consignment whose value is more than 50,000 INR.

Many businesses have branches at different locations or have multiple places of business keeping these scenarios in mind the concept of sub-user under the e-Way bill was introduced.

Under this concept, the sub-user can log in to the e-way bill portal using the original id and password. Moreover, the sub-user can use the facilities according to the access provided to them. For instance, a sub-user can have access to cancel or reject the e-way bill but cannot generate an e-way bill or vice-versa.

Steps to create sub-user under same GST Identification Number

Here are the following steps a taxpayer can use to create sub-user under same GSTIN:

Step 1: Open the e-Way Bill Portal

Step 2: Log into the e-way bill portal using valid credentials.

Step 3: Click on the User Management option available on the left-hand side of the dashboard and choose to Create Sub-User.

Step 4: Once you click on that option a One Time Password is generated on the registered mail ID or phone number. Enter the OTP in the given blank space and click on the Validate button.

Step 5: You will be redirected to a page showing User Creation. Here you need to enter the Suffix Login ID (Sub-User Name).

For instance, if the ID of the taxpayer is XYZ and he/she is setting ABC as suffix login id then the sub-user ID will be XYZ_ABC.

Step 6: Once you set the sub-user login ID, you need to provide the following details such as user name, designation, mobile, and e-mail ID.

Step 7: Afterwards select the office for which that particular sub-user will be allowed to generate e-way bills.

Step 8: Post selecting the office, the user will have the power to provide different access to the sub-user such as Enable e-way bill generation, enable consolidated e-way bill generation, enable e-way bill rejection, enable report generation and enable updating masters.

After giving the desired permission to the sub-user click on the submit button. The sub-user will be successfully created and the password will be sent to the sub-user registered mail ID and Phone number automatically.

Updating the Sub-User details

The taxpayer can manage and the sub-user details by choosing the Update Sub-User option available under the User Management section of the dashboard.

Step 1: Open the e-Way Bill Portal

Step 2: Log into the e-way bill portal using valid credentials.

Step 3: Click on the User Management option available on the left-hand side of the dashboard and choose Update Sub-User.

Steps to freeze sub-user

The taxpayer can freeze or disable the access given to the sub-user by following the below-mentioned steps.

Step 1: Open the e-Way Bill Portal

Step 2: Log into the e-way bill portal using valid credentials.

Step 3: Click on the User Management option available on the left-hand side of the dashboard and choose Freeze Sub-User.

Step 4: You will be redirected to a new page showing the list of sub-users. From the list select the sub-user you want to Freeze.

Step 5: Once you select the sub-user, you will receive all the information regarding that sub-user and at the bottom of the page you will get the Freeze button.

Step 6: Once you click on the freeze button, the sub-user created by you will not be able to access the facilities on the e-Way Bill portal.
